Freelance registrar and production assistant needed by music/art industry startup in Kings Cross. We launched last year and need some help bringing everything together. 4 days pw on site.

Job Description

We're looking for a Production Assistant to join our small, ambitious team and work closely with the Creative Director across a wide variety of projects.

The role covers production planning, project coordination, cataloguing work, managing approvals and sign-offs, organising test prints, supporting product development, and helping keep projects moving from concept through to delivery.

Clear, open communication is essential. We work in a fast-paced environment with multiple projects running at once, so being organised, proactive, and comfortable taking ownership of tasks is key.

For us, personality, attitude, and drive matter more than experience. We're happy to teach the right person, but we're looking for someone who's eager to learn, enjoys solving problems, pays close attention to detail, and will fit well within a small, collaborative team. As the business grows, we expect the role to grow and increase to 5 days per week

We're looking for someone who can start as soon as possible.

Job Requirements

We're looking for someone who is organised, proactive, and enjoys keeping projects running smoothly. While experience is a bonus, we're happy to train the right person.
Ideally, you'll have:
* Confidence using Apple Macs and be comfortable working across databases, spreadsheets, e-commerce backends and project management systems.
* A strong sense of ownership and responsibility for documenting projects, artwork, shipping, and production processes.
* An interest in, or experience with, high-quality print production and materials, Indesign.
* A full driving licence and a valid passport (preferred).
* Excellent communication skills and confidence working with everyone from fabricators and suppliers to high-profile clients.
* A proactive, self-motivated approach with the ability to anticipate what needs to be done.
* Experience working in fast-paced production environments, exhibitions or events.
* Exceptional attention to detail. Experience as a registrar or similar role

Job Responsibilities

* Support production management across multiple projects from briefing to final delivery.
* Assist the Creative Director with day-to-day tasks throughout the project lifecycle.
* Conduct project research, including gathering background information, sourcing references, and reviewing competitor work.
* Create and format presentation decks, proposals, and supporting documents.
* Source assets, materials, and any additional resources required for projects.
* Manage project files, including downloading, organising, filing, and archiving assets.
* Carry out quality control checks to ensure deliverables are accurate and project management systems remain up to date.
* Coordinate test prints and assist with proofing and approvals.
* Provide general office and administrative support as required.
* Assist with production scheduling, tracking deadlines, and following up on outstanding tasks.
* Liaising with suppliers, printers, and external partners. (UK and US)
* Maintaining project timelines
