The Koppel Project is seeking a proactive individual to assist with the day-to-day running of this arts charity. We are searching for a highly efficient, flexible, and reliable professional with exceptional problem-solving and interpersonal skills.As an integral part of our team, you will play a crucial role in the daily operations of multiple arms of the charity. We are looking for someone to aid the charity's operations through studio administrative support, general bookkeeping, overseeing facilities tasks, maintaining health and safety/compliance, and assisting with event management.

The ideal applicant will have a demonstrable background in facilities, basic accounting and basic HR experience, events experience, and an appreciation of creative industries. They will also be able to handle and direct maintenance enquiries from staff, and be prepared to pitch in with ad hoc tasks that come up, including physical or manual tasks like painting, cleaning, moving furniture etc.

In this role, you will have the opportunity to contribute to the efficient management of our studio and event spaces, supporting early and mid-career artists and creatives. Your tasks will range from handling front desk enquiries and managing resident communications to leading tours of our studio and event spaces. While this position is initially part-time, the demand may lead to increased hours.

We are particularly interested in candidates with a background in space management, and an enthusiasm for arts management, design, and creative spaces.You will be at the forefront of our operations, ensuring a seamless experience for our resident artists, brands, and visitors. Your ability to think on your feet and navigate unexpected challenges will be crucial. No two days will be the same, as you immerse yourself in the vibrant and ever-evolving creative atmosphere.

Job Requirements

* Experience working within a creative environment
* Basic knowledge of bookkeeping and strong admin skills
* Excellent communication skills
* Multitasking, attention to detail, and ability to juggle responsibilities
* Flexible approach to work and ability to learn quickly
* Self-starter who takes initiative and ownership of projects
* Ability to gather information and explore innovative ideas
* Commitment to meeting deadlines
* Punctual and reliable
* Ability to connect with others, build positive relationships, and foster a supportive and collaborative environment
* Excellent knowledge of MS Office (particularly Excel), Google Suite, Mac OS, Adobe Suite, Canva
* Basic knowledge of facility maintenance
* Health and Safety qualifications or certifications
* Basic knowledge of HR
* Risk assessment qualification or certifications
* Experience in a multi-site environment
* Basic knowledge of plumbing, electricity, DIY, decorating, and cleaning

Job Responsibilities

* Support studio enquiries and resolve any conflicts that arise
* Lead tours of studio spaces
* Create floor plans and leaflets for promotion of studios
* Create contracts and ensure artists receive relevant building documents/access codes
* Tackle issues within the studios and refurbish vacated spaces
* Oversee booking of project spaces, community rooms, and gallery spaces in studio buildings
* Resolve facilities/maintenance needs as reported
* Implement and maintain safety protocols, ensuring compliance with regulations and standards
* Liaise with contractors/suppliers for repairs, maintenance, cleaning, renovations, waste, security etc
* Maintain records of facility operations whilst co-ordinating procurement/replenishment as needed
* Participate in emergency drills, create evacuations plans, and ensure staff awareness and safety procedures
* Basic book-keeping (log receipts and chase invoices)
* Set up and maintain all utility bills and expenditure across all sites
