Oyez Arts is a Charitable Community Benefit Society on a mission to transform Altrincham Town Hall into a vibrant, multi-purpose cultural hub at the heart of the town.

We programme and host an exciting mix of arts and cultural events, community celebrations, private hires, workshops, film nights, weddings, wellbeing classes and more. Alongside our own programme, we work with local artists, facilitators, businesses and community groups to make the Town Hall a space where people can meet, create and thrive.

We are a small, passionate team working together to make our vision for the Town Hall a reality and are now looking for a proactive, organised and personable Events Coordinator to help us deliver brilliant experiences and support the continued growth of Oyez.

The Events Coordinator plays a central role in the day-to-day running of our venue and events programme. From first enquiry to day-of coordination, you will help ensure every event runs smoothly and every client feels supported.

This is a hands-on role combining administration, customer service and live event delivery. The Events Coordinator will work across multiple projects, liaising with a wide range of internal and external stakeholders, and will be required to manage competing priorities simultaneously.

KEY INFORMATION

Salary: National Living Wage - £12.71 per hour
Hours: 24 Hours per week, part time role with potential to extend to full time.
Working pattern: Flexible, including some evenings and weekends Reports to: Events Manager

Job Requirements

Essential

  • Excellent customer service skills, experience providing customer-focused service with success.

  • Passion for the arts and community- focused projects.

  • Strong administrative skills including use of Microsoft Office Suite or equivalent.

  • Excellent communicator. Must deliver communications with a professional and warm approach - in person & via email/ telephone.

  • Fast learner: must be able to easily pick up new systems, platforms and be eager to make improvements in processes.

  • Strong critical thinking skills with the ability to work independently and with a forward-thinking approach to problem solving.


Desirable

  • Experience managing multiple projects of varying scales simultaneously

  • Experience managing social media networks

  • Experience working in non-profit arts environment

Job Responsibilities

Event Enquiries & Client Management

  • Acting as a first point of contact for event enquiries (phone and email)
  • Conducting venue tours/ viewings and building strong client relationships
  • Preparing quotes and cost estimates
  • Issuing booking forms, contracts, terms & conditions and health & safety information
  • Managing the event diary and tracking deadlines
  • Preparing invoices and managing deposits

Event Planning & Coordination

  • Coordinating room layouts, catering requirements and technical needs
  • Preparing detailed event sheets
  • Liaising with internal team members and external partners
  • Supporting project timelines and ensuring smooth delivery

Event Delivery

  • Assisting with event setup and breakdown (furniture, decor, equipment)
  • Supporting live events including bar service, ticket sales and front-of-house
  • Ensuring high standards of presentation across the venue
  • Providing excellent customer care throughout
