Contract: 2 days per week w/c 2nd June - 10 August 2025 (9 weeks)
Fee: £3,000 (project delivery) + onsite fee TBC

About Carnaval Del Pueblo

Carnaval Del Pueblo (CDP) is Europe's largest celebration of Latin American culture, bringing music, dance and community spirit to London since 1998. The 2025 edition culminates on Sunday 10 August in Burgess Park, Southwark, with a day-long, city-centre carnaval and live stages showcasing Latinx artistry.

The Role

We are looking for a highly organised, bilingual PA & Festival Administrator to work closely with our Creative Director for the final 10-week countdown. You will turn fast-moving ideas into structured plans, keep multiple work-streams on track and be an energetic champion for Latin American arts and community.

Job Requirements

  • Bi-linguel - English & Spanish (written and spoken)
  • Demonstrable event/project coordination experience-ideally outdoor festivals or large-scale community events
  • Meticulous organisational, admin and people management skills
  • Confident communicator across stakeholders-artists, sponsors, suppliers, volunteers, council officers
  • Digital literacy: emailing, spreadsheets, google docs.
  • Social-media savvy with creative ideas
  • Budget tracking and simple financial reporting
  • Culturally aware with genuine passion for Latin American music, dance and community
  • Calm under pressure, flexible hours and able to work independently

Job Responsibilities

Project Planning & Administration

  • Consolidate the Creative Director's ideas, schedules, budgets and delivery timelines into an actionable project plan.
  • General admin & documentation as required.
  • Manage Creative Director's calendar
  • Keep meticulous notes during meetings and key info/ideas that comes up day-to-day

Sponsorship & Fundraising

  • Finalise pitch decks, track proposals and manage sponsor deliverables.
  • Start a Crowd Funder

Marketing

  • Assist with delivering the Creative Director's marketing plan
  • Manage CDP's social media accounts

Creative Programming & Artist Liaison

  • Assist Creative Director with artist liaison and management of national & international artists.

Production Coordination

  • Act as CDP's daily link with the appointed production company (Swans Events).
  • Attend site visits and production meetings

Onsite Delivery (Sun 10 Aug)

  • Support set up, accreditation and backstage operations (onsite fee to be agreed based on exact duties)
