Job Description

AkomaAsa Performing Arts Academy is seeking an Administrative Coordinator to support our day-to-day operations. This is an exciting opportunity for an arts administrator passionate about creative arts and supporting children, young people and adults to join our team. This is a hybrid role located in Stockwell but with flexibility for some remote work.
We are looking for an experienced, committed, highly motivated individual with excellent administrative and organisational skills. The successful candidate will be: responsible for coordinating and maintaining administrative practices and procedure to support for the smooth running of the academy, the first point of contact for students, parents and guardians and the community, able to proactively prioritise, keep deadlines and manage multiple tasks.
This is a great opportunity to play a central role in the growth of AkomaAsa Arts, while developing your career within the arts sector. The position is an in person role and with some remote requirements as needed. You will be working as part of a small, friendly, dynamic Academy team. Candidates applying for this role should have keen interest in the arts, in particular awareness of Western and African Diaspora dance and performing arts. Able to offer flexible working days/hours.
Please note that the appointee will be subject to an enhanced disclosure from the Disclosure Barring service. The Administrative Coordinator will be responsible for managing administrative tasks, including scheduling, managing invoices, responding to inquiries, and coordinating events. The Administrative Coordinator also provides support to the Director and the rest of the team as needed.
This is a freelance, part-time post working 18 hours per week at £15.00 per/hour.

Job Requirements

Required Skills & Experience
Essential
Minimum 2 years' administrative experience (arts, education or youth sector desirable).
Excellent organisation, time management and attention to detail.
Strong written and verbal communication skills.
Proficiency in MS Office 365, Google Workspace and social media platforms.
Experience using Canva for basic design tasks.
Ability to work with CYP, families and community stakeholders.
Positive and proactive attitude towards problem solving with initiative and reliability.
Ability to work independently and as part of a team.
Understanding of safeguarding, equality, inclusion and GDPR.
Desirable
Experience in the arts or creative industries.
Experience with QuickBooks, budgeting or financial administration.
Experience with Asana, Monday.com or similar workflow tools.
Experience with MailChimp or similar email marketing tools.

Support Academy operations - Assist managers, teachers, parents and CYP through effective organisational and communication systems.
Maintain administrative processes - Create, coordinate and manage efficient systems for documents, records and daily operations.
Manage social media activity - Create, schedule and monitor day to day posts across X/Twitter, Instagram, LinkedIn, Facebook, YouTube and TikTok.
Build community relationships - Proactively liaise with CYP, parents, prospective families and the wider community to support engagement.
Coordinate programme communications - Work with the Programme Manager to share information with teaching assistants, volunteers and CYP.
Support events and projects - Assist with administration for Academy performances, projects, trips and events.
Manage Academy enquiries - Oversee Academy email accounts and respond promptly and professionally to all enquiries.
Prepare key documents - Draft and distribute agendas, minutes, letters
