The Attingham Trust seeks an organised, proactive and highly responsive Coordinator to plan and deliver the non-academic elements of its internationally acclaimed residential Summer School for historic houses and collections.

Job Description

Working closely with the two co-directors, the Coordinator is responsible for the successful planning and delivery of all non-academic elements of the Attingham Summer School, including travel, accommodation, catering, budgeting and administration.

The Attingham Summer School is an internationally respected 16-day residential programme, held annually across three UK locations. It brings together museum, heritage, academic, architectural and conservation professionals from around the world to explore historic houses, gardens, landscapes, interiors and collections.

The Coordinator's role is primarily logistical and administrative, ensuring a seamless experience of the highest quality for course members and maintaining the reputation of the Attingham Trust within the heritage education sector.

This is a freelance consultancy role, suited to someone who is highly organised, self-motivated, proactive and comfortable managing complex logistics, multiple stakeholders and unexpected situations. The role is primarily home-based, with flexibility throughout much of the year, but requires full attendance throughout the Summer School in late June/early July. The weeks immediately before and afterwards are particularly busy. Other key periods include budgeting in autumn and the application and selection process in January/February.

The average annual commitment is estimated at approximately 1.5 days per week. Occasional meetings at the Attingham office in London and short UK recce trips are also required.

The appointment is initially from late October/November 2026 to the end of August 2027 and covers the 2027 Summer School. The successful candidate will work alongside the current Coordinator for a short handover period.

The Coordinator will be engaged on a consultancy basis and is
likely to receive an annual fee in the region of £11,000 (experience dependent), pro-rated, plus expenses. Fees are paid three times a year.

Job Requirements

We are looking for an excellent administrator with a proven track record of planning, managing and delivering complex events, conferences, festivals, specialist tours or similar programmes. You will be highly organised, proactive, responsive and attentive to detail, with excellent written and verbal communication skills.

You will need strong IT skills, including Excel, PowerPoint and virtual conferencing software; experience of budgeting, book-keeping and maintaining accurate financial records; and the ability to work confidently under pressure and respond effectively to unexpected situations.

You should be comfortable working independently and as part of a small team, communicating with a diverse range of people at all levels. A willingness to travel independently or with colleagues is essential; a clean driving licence would be an advantage. An interest in historic buildings, gardens and collections is desirable but not essential.

Job Responsibilities

The Coordinator oversees the logistical and administrative delivery of the Summer School throughout the year. Responsibilities include arranging recce trips, property visits, accommodation, catering and transport; managing participant information and communications; processing applications and supporting the selection process; preparing course information and lecturer contracts; and working with the Treasurer on budgets, invoices and payments.

During the Summer School, the Coordinator is fully present and oversees daily travel, meals, arrivals and departures, audio-visual provision, payments and practical problem-solving.

Following the course, responsibilities include completing financial matters, collating participant course reports and attending relevant Trust meetings. Throughout the year, the Coordinator also supports promotion, database management, research into future Summer School locations and wider Attingham Trust activities.
