A key delivery role supporting the CEO, ensuring strong operational foundations, accurate reporting and effective coordination in a small, mission-led organisation.

Job Description

The senior Operations & Administration Manager plays a critical role in ensuring UD is well-run, compliant and supported by strong operational systems. The role takes ownership of core operations, admin and reporting functions, providing a stable backbone for programme delivery across the organisation.

This is a senior role in terms of responsibility and capability, focused on creating consistency, accuracy and follow-through across systems and processes. The post-holder works closely with the Chief Executive Officer and with staff, freelancers, partners and external advisers to support smooth day-to-day operations, including activity at UD's Talent House.

The role coordinates organisational administration, supports funder reporting and compliance processes, maintains accurate records and documentation, and supports governance activity including preparation of board papers and organisational policies.

The role includes coordination and line management of operational staff and freelancers involved in facilities and front-of-house delivery. Financial administration is carried out within agreed budgets and procedures, with decision-making authority sitting within established operational frameworks.

This role will suit someone who enjoys building effective systems and supporting delivery in a small, mission-driven organisation. It is not a programme leadership or strategic development role, but one that is central to organisational effectiveness.

This role is office-based at UD's Talent House in Stratford, reflecting its operational responsibilities. Some flexibility may be available by agreement.

Job Requirements

  • Significant experience in an operations, administration or project administration role within the charity, arts/cultural, education or public sector

  • Demonstrable experience of building and maintaining administrative or operational systems in a small or medium-sized organisation

  • Experience of funder or stakeholder reporting, including data collection, monitoring returns and evidence collation

  • Experience supporting multiple projects or workstreams concurrently, with strong organisational oversight

  • Practical understanding of operational compliance, including data protection, safeguarding and health and safety

  • Experience working with freelancers, contractors or sessional staff, including coordination and line management where appropriate

  • High level of organisational competence, attention to detail and reliability

  • Ability to work independently and proactively within agreed processes and frameworks

  • Clear, calm and professional communication skill

Job Responsibilities

  • Lead on the development, maintenance and effective use of core operational and administrative systems across the organisation

  • Ensure consistency, accuracy and follow-through across organisational processes, deadlines and reporting requirements

  • Coordinate funder reporting, monitoring returns and evidence collation, working with the CEO as required

  • Maintain accurate organisational records, contracts, policies and compliance documentation

  • Support finance administration, including invoices, expenses and contractor payments, in line with agreed procedures

  • Coordinate day-to-day operational activity at Talent House, including building operations and studio usage

  • Line manage or coordinate operational staff and freelancers to support high-quality delivery

  • Prepare governance documentation and board papers, and support implementation of agreed procedures

  • Administer data protection, safeguarding, and health and safety processes in line with organisatio
