Job Description

We have an excellent opportunity for an administrator to join the Music Department. The successful candidate will be required to work three days a week during term-time (Wednesdays, Thursdays and Fridays), and will be responsible for the day-to-day administration of the instrumental lessons provided by the peripatetic music teachers and booking of teaching rooms. This is a busy role which requires excellent organisational skills, ability to work to deadlines and strong attention to detail.

Hours: Term-time only (34 weeks), 3 days per week during term (Wednesdays, Thursdays and Fridays), 8am to 4:30pm, 22.5 hours per week. Occasional ad hoc work during the school holidays may be required.

Job Requirements

  • Degree or relevant administration experience
  • Excellent organisational skills
  • Strong communication skills
  • Strong IT skills - comfortable with Microsoft Outlook, Word, Excel, Access, Publisher, PowerPoint, Google Sheets and ability to learn new systems
  • Experience working in office administration
  • Approachable, professional and personable manner
  • Excellent attention to detail
  • Happy to work both independently and as part of a team
  • Flexible and reliable

Job Responsibilities

Instrumental Lessons

  • Serving as first point of contact for instrumental lesson queries from staff, VMTs and students in the Music School
  • Processing of timetables including checking to ensure lessons are scheduled appropriately
  • Preparing Daily Lesson reports and circulating to staff
  • Preparing and monitoring school calendar information documents for VMTs
  • Registering attendance at lessons
  • Tracking lesson absences and histories and communicating with relevant parties as required
  • Updating iSAMS Registration Module and SOCS Music

VMT Use of Facilities

  • Corresponding with VMTs regarding booking of teaching rooms and scheduling lessons including requests for timetable amendments
  • Preparing Daily Room Booking Sheets
  • Daily sign-in of VMTs

Office Support

  • General administrative office duties as requested
  • Act as Fire Marshall for the Music School
  • Handling general enquiries from students, staff and VMTs
