Job Title: Gallery Assistant

Hours: Tuesday - Saturday (10am - 6pm)

Position Start Date: October 2025

Location: Cadogan Gallery, 7-9 Harriet Street, London, SW1X 9JS

Salary: Dependent on experience

The Role:

A junior position suitable for recent graduates, the Gallery Assistant will be an integral part of the Cadogan team, providing assistance to our exhibitions, marketing and sales teams, and providing administrative support to the gallery.


Inventory Management:

  • Managing gallery inventory on CRM platforms (Artlogic, Artsy, Ocula) - consigning in artworks, updating locations, availability, and consignment statuses
  • Managing stock room - condition checks, stock checks, packing and labelling
  • Creating consignment notes, certificates of authenticity and delivery notes
  • Posting and managing inventory of catalogues, books, prints and other store products.

Administrative Assistance:

  • Updating text and imagery on gallery website + CRM platforms
  • Keeping contact records updated on Artlogic database
  • Assisting with logistics, framing, packing, shipping and storage when required
  • Taking meeting minutes and creating summaries to circulate with the team
  • Daily gallery management + upkeep (e.g. ordering stationary and supplies, preparing the gallery for client viewings)

Exhibitions and Marketing Assistance:

  • Preparing for openings + events hosted at the gallery (e.g. arranging refreshments, staff, cleaning)
  • Assisting exhibitions team with arranging shipping, photography, framing, vinyls etc.
  • Creating exhibition pages on website + CRM platforms and updating online exhibition listings
  • Creating press kits for exhibition announcements and adding press articles to the website
  • Assisting with mailouts when required

Job Requirements

Requirements:

- Bachelor's degree in a creative, business or marketing field

- Must have the right to work and live in the UK

- Excellent verbal and written communication skills

- Fluency in English

- Detail oriented and creative with exceptional organisational skills

- Ability to work accurately and calmly under pressure

- Good time management skills with the ability to meet deadlines

Desirable:

- Competence in Italian welcomed but not mandatory

- Knowledge of Artlogic, Artsy, Ocula CRM systems

- Knowledge of Adobe Photoshop and InDesign

- Experience in a creative or client-facing industry
