16h per week + 12 installation/photography support days per year £13.45 per hour | Permanent.

The Gallery Administrator supports the day-to-day operations of New Ashgate and plays a key role in keeping exhibitions, stock systems and digital records running smoothly. The role combines careful digital administration with practical support for installations, photography, online listings and building operations.

Much of the work takes place behind the scenes and helps ensure that what visitors see in the gallery is accurate, organised and well presented. You will maintain our stock system (Artlook), ensuring that artworks are recorded correctly, labelled and ready for display or photography. You will keep artist information up to date, prepare labels and statements, and work with colleagues to ensure that deliveries are processed on time. The stock room will be under your care, kept tidy, labelled and safe to use. You will also coordinate photography with a professional photographer, preparing artworks in advance, managing session lists and filing and uploading final images for internal use and the online shop. Updating the online shop is part of your weekly routine. You will upload new artworks, ensure information is accurate and make sure the digital listings match what appears in the gallery. The role includes supporting packing and dispatch, managing returns, and assisting colleagues with customer enquiries when needed. The post also contributes to gallery operations. You will log building issues, arrange contractors and support weekly resets so that the gallery remains inviting. You will help coordinate volunteers, prepare workshop paperwork, and support administration linked to hires and children's parties as part of our community commitments. The role suits someone who enjoys creating order, switching between digital and practical tasks and working with artworks and information. Accuracy, consistency and good communication are central to this post.

Job Requirements

The role requires someone who works with care, accuracy and consistency, and who can maintain pace without losing attention to detail. You should be confident with digital systems, able to learn new tools quickly and comfortable using AI to streamline tasks. Strong organisational skills are essential, both in the stock room and on screen. You should enjoy creating order, managing information and supporting the practical work that keeps the gallery running. Clear and polite communication is important, as is the ability to stay calm in a busy environment. Confidence in handling artwork and supporting simple installation tasks is required. Experience with Artlook or similar systems, and familiarity with gallery or charity work, are helpful but not essential.

You will also coordinate volunteers and prepare workshop paperwork, along with administration for balcony hires and children's parties. Twelve installation and photography support days are paid each year to support exhibition changeovers.
