Gallery Administration: EDUCATION: BA or MA in Art History; focus on or interest in twentieth-century to contemporary art, preferred. EXPERIENCE: 2+ years of experience in a contemporary art gallery. Good working knowledge of standard office practices, procedures, and CRM/art database management. Proficiency in Google Workspace, MS Office, and Adobe InDesign. LOCATION: In-office only. Front-of-house:
Ensure the gallery is fully open and ready for visitors at the beginning of each day, maintaining a presentable front desk, gallery and office environment at all times
Warmly greet all visitors to the gallery and assist them as needed
Manage the main gallery telephone line and general email enquiries
Support the Gallery Manager in the daily operations of the gallery and assist with daily errands as needed
Ensure that all meetings are supplied with refreshments
Send out catalogues and correspondence, and book local couriers
Maintain stationery stock and office supplies, reporting low stock to the Gallery Manager
Process book sales and ensure stock lists are updated
Maintain inventory and stock of the current exhibition's artwork checklist
Research artists, objects, and the art market for comparables and general insights
Maintain accurate, comprehensive, and up-to-date object records, prices, and relevant information in company database for all sales and consignments
Follow up with clients and ensure all prospect and client records are updated and logged to the CRM database
Prepare materials for offers including fact sheets, images, relevant literature, auction comparables and sales packs
Assist with exhibitions by preparing exhibition-related materials, obtaining copyrights, and gathering images for publications
Coordinate and track timelines, deliverables, and vendor logistics for gallery projects and installations
Update auction catalogues, input sales results after every major auction, and conduct market research prior to auctions
Troubleshoot basic IT issues and liaise with IT support when necessary
