Are you an experienced Executive Assistant looking to bring your organisational flair and communication expertise to a dynamic creative institution?

Do you have a background in Higher Education administration or communications, preferably within the Performing Arts?

As Executive Assistant, you'll play a vital role in enabling the effectiveness of senior academic leadership. From diary and correspondence management to coordinating meetings, overseeing course logistics, and supporting internal and external communications, your contribution will be essential in keeping the organisation running at pace and to exceptional standards.

You'll be a key point of contact for senior staff, external stakeholders and industry partners, providing consistent administrative oversight and helping to maintain a culture of clarity, collaboration, and excellence. With responsibility for supporting the leadership of our Schools of Acting and Musical Theatre & Dance - including course planning, quality assurance, event delivery, and industry engagement - this is a rare opportunity to help shape and support a broad range of activities germane to the success of the institution.

Job Requirements

  • Taking a proactive role in support of the work of the Directors of Schools, supporting them in their leadership and ambassadorial roles.
  • Undertaking diary management for the Directors of Schools.
  • Handling, monitoring and prioritising incoming correspondence, e-mails and telephone calls to ensure that they are dealt with in a timely manner and in accordance with relevant deadlines.
  • Acting as the first point of contact for the Directors of Schools and their deputies for mail, telephone callers and visitors, being fully familiar with Italia Conti's professional services and academic structures and liaising with a wide range of people both within and outside the organisation as required.
  • Managing key files and documents on behalf of the Directors of Schools and their deputies, maintaining an organised filing system of presentations and documents.
  • Undertaking administrative and secretarial duties and contributing to researching and preparing papers for internal and external audiences

Job Responsibilities

  • Contributing to the drafting of papers, reports and presentations, using relevant software packages where required.
  • Overseeing the logistical operations of the courses, including scheduling, resource allocation, and staffing.
  • Monitoring departmental budgets, tracking expenditure, and assisting with financial planning.
  • Managing each departmental schedules including course meetings and preparing agendas and materials.
  • Coordinating the preparation and submission of documentation for course validation and revalidation processes.
  • Facilitating meetings, ensuring that agendas, papers, minutes are produced, circulated and archived in an effective manner and any follow-up action is implemented.
