Maestro Arts is seeking an experienced and highly organised Executive Assistant/ Office Manager to support our Directors and oversee the smooth running of our London office. This is a key role at the heart of a dynamic international artist management company.

Maestro Arts offers a bold new vision for the performing arts. Our international management company provides worldwide representation for conductors, instrumentalists, singers, composers, visual artists, lecturers, stage designers and directors. We seek to unite outstanding performers from the world of classical music with innovative visual artists and arts organisations.

Reporting to the Managing Director, you will support our Directors and play a central role in ensuring the efficient day-to-day running of the company. This is a varied and hands-on position combining executive support, office management, HR coordination and operational oversight.

Key responsibilities:
- Provide executive support to Directors, including diary and travel coordination
- Oversee the smooth day to day running of the office
- Manage suppliers, facilities, procurement and office resources
- Support HR administration and recruitment processes
- Coordinate IT systems, equipment and external providers
- Maintain company policies, documentation and internal systems
- Organise internal meetings, events and general office logistics
- Assist with financial administration, including expenses and office budgets

The ideal candidate:
- Proven experience as an Executive Assistant and/or Office Manager
- Highly organised with excellent attention to detail
- Strong communication skills, both written and verbal
- Ability to manage multiple priorities and work proactively
- Discreet and confident handling confidential information
- A flexible, team-oriented approach with a positive attitude
- Strong IT confidence (Microsoft Office, collaboration tools; experience with databases is an advantage)
- A strong interest in the performing arts, particularly classical music, is highly desirable.
Key European language skills, spoken and/or written would be very welcome.

Job Requirements

Job Responsibilities

- Coordinate Directors' diaries, meetings, travel, visas and itineraries; provide administrative support and handle confidential matters
- Support HR processes, including recruitment, onboarding, staff records and policies; administer company insurance
- Oversee day to day office operations, including suppliers, facilities, procurement and budgets
- Maintain company documentation, filing systems, policies and ensure Health & Safety compliance
- Organise meetings, events, room bookings and ticket requests
- Act as main IT contact, liaising with external providers; support systems (Overture, Microsoft Office) and manage IT equipment
- Assist with system updates, training and IT/digital projects; provide occasional social media cover
- Process Directors' expenses and credit card reconciliations
- Support wider team operations as required
