Job Description

We are seeking someone to join our team, to play a key role supporting students, applicants and academic staff who make our courses such a success?

As Course Coordinator & Admissions Officer, you'll provide essential administrative support for our acting, musical theatre and dance courses. Working closely with Heads of Schools, Course Leaders, academic staff and colleagues across Operations, Marketing and Student Services, you'll help ensure the smooth delivery of courses while supporting applicants throughout the admissions process.

A varied and rewarding role, you may be coordinating auditions, communicating with applicants and supporting Open Days, while also assisting with enrolment, maintaining student records, preparing course information, organising assessments and productions, and providing day-to-day administrative support.

We're looking for a highly organised individual with excellent administrative, organisational and communication skills, strong attention to detail, and a proactive, collaborative approach. A good undergraduate degree (or equivalent professional experience) is desirable; experience in admissions, student services, education or another fast-paced administrative setting would be advantageous.

You'll be confident communicating with applicants, students and colleagues, comfortable managing detailed processes and records, and able to adapt as priorities change.

As part of the Operations Team, you'll also support auditions, enrolment, productions, Open Days and other key events, contributing to an exceptional student experience and the wider life of the institution.
Working hours: 37.5 hours per week, generally 9.30am to 6.00pm, Monday to Friday. As part of the Operations Team reception rota, you will work one late shift per week (12.00pm to 8.30pm) during term time.

Supporting the Operations Manager, Course Leaders, Heads of Department, Module Leaders, teaching staff and wider Operations Team in the smooth and effective delivery of course administration across Italia Conti's portfolio of courses.
Acting as a key operational point of contact for teaching and learning teams, helping them to complete the administrative tasks required to deliver their managerial, academic and student-facing responsibilities effectively.
Supporting Course Leaders and Heads of Department with the organisation, tracking and completion of course administration, including student lists, tutorial information, registers, course communications, deadline reminders, meeting records, action trackers and relevant course documentation.
Assisting the teaching and learning course management team with the preparation, circulation and filing of course-related paperwork, ensuring that information is accurate, accessible, appropriately stored and produced.

Job Responsibilities

Maintaining a strong working knowledge of course structures, academic strands, student groups, teaching arrangements, tutorial provision, productions, sharings, assessments, open days and other course-related activity in order to support staff and students effectively.
Responding to general course administration queries from students, staff, applicants, parents/carers and external stakeholders, taking forward routine matters appropriately and escalating more complex issues to the relevant manager, Course Leader or department.
Drafting and producing general internal communications with students and staff relating to courses, teaching arrangements, tutorials, timetable-related notices, deadlines, rehearsals, sharings, productions, enrolment, attendance expectations and other operational matters.
Coordinating the issue of course information to students and staff, ensuring that communications are clear, timely, accurate and consistent with Italia Conti's policies and procedures.
