Job Summary:

This multifaceted role oversees all aspects of studio and meeting room hire at Jerwood Space, from initial enquiry, ensuring a seamless customer experience. The position involves managing booking enquiries, responding with detailed information on availability and suitability, maintaining up-to-date records using central scheduling software (Artifax), and coordinating contracts, invoices, and logistical needs such as catering, equipment, and studio setup.

You will act as a key point of contact for clients, offering high-quality, personable customer service throughout the hire process. Responsibilities include duty managing the reception office, greeting users and visitors, managing daily operations, preparing rooms, reporting maintenance, and supporting all operational needs.

The role also entails regular communication with external suppliers (e.g., caterers), managing bookings, logging tech and furniture requirements, and ensuring health and safety standards are upheld. A passion for the arts, strong administrative and interpersonal skills, and the ability to work flexibly as part of a small team are essential.

One year fixed term contract.

Terms:

40 hours/week, including occasional evenings/events (TOIL given)

1 day/week WFH

28 days annual leave (incl. bank holidays)

Job Requirements

A passion for the arts and strong customer service skills are essential. Candidates should have experience in administration or operations, ideally within an arts or creative environment. Excellent written and verbal communication, strong organisational abilities, and confidence in managing bookings, schedules, and contracts are required. Familiarity with diary management software (e.g., Artifax) is an advantage. The role demands attention to detail, problem-solving skills, and the ability to work flexibly, including occasional evenings. A positive, team-oriented attitude and a friendly, professional manner when dealing with a diverse client base are key. An arts degree or equivalent experience is desirable.

Job Responsibilities

Manage all studio and meeting room booking enquiries, providing information on availability, rates, and suitability. Support clients throughout the hire process, from enquiry to departure, ensuring high levels of customer service. Oversee reception duties, welcome visitors, manage daily operations, and coordinate room setups. Use Artifax to schedule bookings, log correspondence, and maintain up-to-date records. Handle contracts, invoices, and additional services (e.g. catering, piano tuning, parking). Liaise with clients, monitor hire activity, and ensure health & safety standards are met. Assist with building operations, including opening/closing, reporting maintenance, and supporting users with facilities and equipment.
