Job Summary

ETO are seeking an organised and enthusiastic administrator to join our busy team as we relocate to Sheffield. The role will provide valuable support across the organisation and play a key role in ensuring our administrative processes run smoothly at a crucial time.

Job Description

Office

  • Assisting with managing premises (office, rehearsal and storage as requested), liaising with landlords, health and safety bodies, cleaners and maintenance contractors
  • Monitoring ETO's subscriptions
  • Liaising with ETO's external IT consultants to maintain ETO's computer and phone system and facilitate upgrades
  • Supporting hiring managers with recruitment administration as required and working with line managers to induct new team members into ETO's administrative processes
  • Supporting policy update processes
  • Managing ETO stationery stocks and office supplies, including
  • storage of documents (both physical and digital)
  • Answering the office phone, ensuring the correct person is
  • connected or taking a message as appropriate
  • Running the office answerphone - ensuring it is on or off as
  • appropriate and handling voice messages
  • Managing ETO's post including processing incoming and
  • outgoing correspondence
  • Co-ordinating internal and external meetings as requested
  • including management of Board meetings and events.
  • Minuting Board meetings

Production

  • Provide administrative support to the Producing Team
  • Assist the Producing Team with creating and circulating
  • schedules
  • Assisting with music reprographics as required
  • To place orders, receive and check deliveries and arrange
  • returns as required
  • With the Producer and Head of Marketing, manage event and
  • performance invitations, receptions for guests and artists ,
  • and to acknowledge and celebrate artists and supporters (e.g.
  • first night cards)

General

  • Contribute to the work of other departments within ETO and
  • carry out, within reason, other duties to further the objectives
  • of the company
  • Stay informed of all relevant current union agreements
  • Act as an ambassador for the company at all times
  • Keep up to date with all relevant regulations and compliance
  • Attend performances and events as required

Job Requirements

  • A passion for the arts, music, theatre and ETO's mission.
  • Experience of working in theatre and/or administration.
  • Proactive and flexible attitude, ability to effectively prioritise and respond to quickly changing priorities.
  • Good experience with Microsoft Word & Excel
  • Numeracy, accuracy, and attention to detail
  • Excellent written and verbal communication skills
  • Diplomacy and discretion
  • An excellent telephone manner
  • The ability to work both independently and as part of a close-knit team
  • The ability to work with a wide variety of people
  • Resourcefulness
