The Booker Prize Foundation are looking for an Administrative Assistant, a newly created entry-level role, to provide key administrative support to the Booker Prize Foundation team and ensure the smooth day-to-day running of the organisation.

Job Description

The Booker Prize Foundation are looking for an Administrative Assistant, a newly created entry-level role, to provide key administrative support to the Booker Prize Foundation team and ensure the smooth day-to-day running of the organisation. You will be responsible for essential tasks needed to assist our small, hard-working team.

The Administrative Assistant will report to the Executive Assistant, whilst working closely and collegiately with all members of the team. The responsibilities are split across administrative support for the wider team, and some prizes-specific support.

Contract: Fixed term 3 years, full time

Location: London-based hybrid working with ideally four days per week in the London office, to be agreed on contract

Salary: £30,000

Job Requirements

The ideal candidate will

  • Have a minimum of six months prior work experience, preferably in an office environment
  • Be a highly organised person who enjoys a fast-paced working environment
  • Be able to balance competing priorities and use their own initiative
  • Work with tact, empathy and discretion when handling sensitive and confidential information
  • Be emotionally intelligent and able to confidently represent the Booker Prize Foundation team when communicating and meeting with external stakeholders
  • Be a reliable and collegiate team player who enjoys working in a small, driven team
  • Be a fast learner, have an instinct for potential issues and be an excellent problem solver

Job Responsibilities

General responsibilities will include

  • Meeting room bookings and preparation
  • Internal meeting minuting
  • Post room monitoring and sending external post
  • Monitoring of external-facing inboxes, filing and flagging correspondence to the relevant team members
  • General office tidying and organising
  • Coordinating the office rota and being aware of the teams' working hours and patterns
  • Updating the CRM
  • Recruitment administration support when needed
  • Carrying out other tasks that are within the scope, spirit and purpose of the role

Prize responsibilities, working alongside the Executive Assistant, Prizes Manager and Children's Prize Manager

  • Publisher submissions administration support for the International Booker Prize and Children's Booker Prize
  • Travel bookings and itinerary support for key Booker Prize team members, judges and authors across the three prizes
  • Logistical and on the ground events support at key points in the three prize cycles
